We collect information that you provide directly, information generated through your use of the platform, and information from third-party integrations.
Information You Provide

- Billing information: payment method details processed through our secure payment provider.
- Property data: room types, rates, availability, and hotel configuration settings.
- Communications: messages you send to us via email or through the platform.
Information from OTA Integrations
- Booking and reservation data synced from connected OTA platforms (MakeMyTrip, Booking.com, Airbnb, Agoda, and others).
- Guest information associated with bookings, including names, contact details, and stay preferences.
- Rate and availability data from connected channels.
Automatically Collected Information
- Device and browser information, IP address, and access timestamps.
- Usage data: features accessed, pages viewed, and interactions within the platform.

2. How We Use Your Information

- To provide and maintain the ClearHost platform, including syncing rooms, rates, and availability across OTA channels.
- To process hotel bookings and manage guest information on your behalf.

3. Data Sharing
We do not sell your personal information. We may share your information in the following limited circumstances:
- OTA Platforms: We transmit booking, rate, and availability data to and from connected OTA platforms as required for channel management functionality.
- Service Providers: We work with trusted third-party service providers for hosting, payment processing, analytics, and customer support. These providers are contractually obligated to protect your data.
- Legal Requirements: We may disclose information when required by law, court order, or government regulation, or when necessary to protect our rights or the safety of our users.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction.
4. OTA Account Data
When you connect your OTA accounts (such as Booking.com, MakeMyTrip, Airbnb, or Agoda) to ClearHost, we use secure OAuth authentication or official API integrations provided by each platform. We do not store your OTA login passwords at any time. Access tokens are stored securely using industry-standard encryption and can be revoked by you at any time by disconnecting the integration from your ClearHost dashboard.
5. Google Ads & Advertising Platform Data
ClearHost offers an AI Ads Manager feature that allows you to create and manage advertising campaigns on Google Ads and Meta (Facebook/Instagram) directly from your dashboard. When you connect your advertising accounts, the following applies:
Data We Access
- Campaign performance data: impressions, clicks, spend, conversions, and ROAS (Return on Ad Spend).
- Account-level settings: billing status, account ID, and linked manager accounts.
- Campaign configuration: keywords, audiences, bidding strategies, ad copy, and targeting settings.
How We Use This Data
- To create, launch, and optimize advertising campaigns on your behalf based on goals you set.
- To display campaign performance metrics within your ClearHost dashboard.
- To provide AI-powered recommendations for campaign improvements.
Authentication & Permissions
We use OAuth 2.0 to authenticate your Google Ads and Meta accounts. We never store your advertising platform passwords. We only request the minimum permissions necessary to manage campaigns on your behalf. You can revoke access at any time by disconnecting the integration from your ClearHost dashboard or from your Google/Meta account settings.
Data Ownership & Retention
Your advertising accounts, campaigns, and all associated data remain fully owned by you. ClearHost acts as a tool to manage your campaigns — we do not claim ownership of any campaign data, creative assets, or performance metrics. Campaign performance data is retained in your ClearHost dashboard for as long as your account is active. Upon account deletion, all advertising data is removed within 90 days.
Compliance
ClearHost complies with the Google Ads API Terms of Service and the Google API Services User Data Policy. All campaigns created through ClearHost must comply with Google Ads advertising policies and Meta advertising standards. We do not use Google Ads data for any purpose other than providing and improving our advertising management services to you. Google Ads data is not shared with any third parties.
6. Data Security
We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. These measures include encryption of data in transit and at rest, regular security assessments, access controls, and secure infrastructure hosted on reputable cloud providers. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Data Retention
We retain your personal data for as long as your account is active or as needed to provide you with our services. If you close your account, we will delete or anonymize your data within 90 days, unless retention is required by law or for legitimate business purposes (such as resolving disputes or enforcing our agreements). Booking and transaction records may be retained for up to 7 years to comply with tax and accounting regulations.

Depending on your jurisdiction, you may have the following rights regarding your personal data:
- Right of Access: Request a copy of the personal data we hold about you.
- Right to Rectification: Request correction of inaccurate or incomplete data.
